Wapiti 2011 - Vendor Details

Event overview
• Wapiti Festival vending grounds are located in a flat, treed area in the Annex Park in Fernie, BC.
• Please be prepared for vendor spaces that may have tree roots and uneven surfaces.
• Please note there is no electricity available on site.
• Festival runs from 6pm till 11pm on Friday and 12pm till 11pm on Saturday August 19th, 2011. The Wapiti Marketplace runs from noon till 7pm on Saturday only.
• Food vendors need to ensure they read the detailed Food Vendor Document before completing the Vendor registration forms to ensure they have the ability to meet all the guidelines to vend.

Arrival
• No vendors will be allowed onsite before 9:00am Saturday.
• Approved vendors will be listed on the Wapiti Vendors Access list at the front gate. Please bring photo ID to prove your identity when you arrive and check in.
• Your festival passes will also be available at this time. Two passes are available per vendor booth. Please include your needs for additional festival passes for your staff in your online application.
• Once on site proceed to the vendor area where the vendor coordinator will help you identify your vending location.

Set up
• Once loaded in, you will not be able to bring your vehicle back in, until after 7pm. Plan on bringing in everything you need, during morning load ins. Bring a wagon and/or cart if you anticipate needing to load anything in and out daily. Everyone going through the gate (during the show), will be subjected to the same search restrictions.

Booth Operation
• Wapiti runs rain or shine.
• ALL vendors must be open, staffed, and ready for business when the gates open at 12pm, and remain so, until 7pm.
• Vendors are permitted on the festival grounds as early as 9am to set up.
• No pets of any kind are allowed on festival grounds (except for parrots).
• Note that all vendors are responsible for their set up. Vendors must provide a tent to protect them and their products. Please carefully measure your required vending space, as tents will be closely placed side by side.

Take down
• Vendors are responsible for leaving booth spaces & area CLEAN. All trash from your operation must be removed when you load out. Failure to do so will jeopardize your return to future events. There is a dumpster on site & all waste must be placed in its proper receptacle.

Registration & Payment
• Vendor must complete online registration and online payment to qualify for vending.
• Deadline for application is 12 AUG 2011
• Vendor fees are non-refundable.
• Your Vendor Fee includes a 10x10 space (unless otherwise specified in online application) and up to 2 festival passes. If you are requesting more than 2 staff passes for your booth please include a description of their roles in your online application.

Parking
• Vehicle parking will not be allowed in the vendor area.
• Parking spaces may be reserved for vendors in the main parking area. Please describe the vehicle you will need to park in your online application.

Remember
Bring plenty of…
• Change! There is no ATM on site.
• Drinking water/fluids.
• Sun block & a hat.
• Anything else you need enjoy your entire day.
